This Privacy Policy explains how BriefLink (“Company,” “we,” “us,” or “our”) collects, uses, discloses, stores, and protects information when you access or use our website, software, applications, and related services (collectively, the “Service”).

1. Information We Collect

We may collect:

  1. account information, such as name, email address, firm name, billing information, and login credentials;
  2. content you submit, upload, or transmit through the Service, including briefs, citations, notes, documents, and related materials;
  3. usage information, including log data, device information, browser type, access times, and activity within the Service;
  4. communications, including support requests, feedback, and survey responses;
  5. limited metadata and audit information necessary to operate and secure the Service.

2. How We Use Information

We may use information to:

  1. provide, maintain, and improve the Service;
  2. process, format, and help create legal work product at your direction;
  3. troubleshoot, secure, audit, and monitor the Service;
  4. communicate with you about your account or the Service;
  5. comply with law, enforce our terms, and protect our rights and users; and
  6. analyze and improve performance, accuracy, and user experience.

3. Confidentiality and Use of Content

We understand that materials uploaded to the Service may include confidential, privileged, or sensitive information.

We will use such content only as reasonably necessary to provide and support the Service, subject to our security and retention practices.

You are responsible for ensuring that you have the authority to upload and process any content through the Service.

4. Encryption and Security

BriefLink uses encryption technology during transmission, processing, and storage to help protect information throughout the workflow.

However, no security process or technology is perfect, and we do not guarantee that unauthorized access, disclosure, loss, alteration, or misuse will never occur.

You are responsible for safeguarding your credentials and access to your account.

5. Data Retention and Deletion

BriefLink retains briefs and related materials only for as long as reasonably necessary to deliver, revise, and support your work product, subject to the schedule described below.

Standard retention schedule. Briefs that you save to your account are retained for a limited period to support revision and reuse:

  1. Edit window — up to 30 days from creation. During this period the brief remains available in your account for re-editing, re-downloading, and additional runs through the Service.
  2. Post-edit archival — up to 90 days from creation. After the 30-day edit window closes, the brief is retained only in archival form and may no longer be modified. At or before the 90th day from creation, the brief and its associated materials are scheduled for automatic deletion from active systems.
  3. On request. You may request deletion of any individual brief, or of all briefs in your account, at any time by emailing info@brieflink.ai. We will delete the requested materials from active systems as promptly as reasonably possible after verifying your request.

Residual copies. Deletion from active systems is subject to residual copies in backup systems, disaster recovery systems, security logs, and records required by law or legitimate business purposes. Such residual copies are not actively used and are overwritten according to standard operational cycles.

Account-level data. We may retain limited metadata, logs, administrative records, and audit-trail information (including waiver acceptances and billing history) for operational, security, audit, and legal compliance purposes, even after a brief is deleted. This retained data does not include the body of your brief or its uploaded source materials.

Account closure. When you close your account, we delete your briefs and related materials from active systems on the same schedule, subject to the residual-copy and account-level-data exceptions above.

6. Sharing and Disclosure

We may share information:

  1. with service providers, vendors, hosting partners, and subprocessors that help us operate the Service;
  2. to comply with law, regulation, legal process, or lawful requests;
  3. to protect rights, security, users, and the public;
  4. in connection with a business transaction, such as a merger or acquisition; or
  5. with your direction or consent.

7. HIPAA and Protected Health Information

The Service is not intended to be used as a HIPAA-compliant platform unless we have expressly entered into a separate written Business Associate Agreement.

Do not upload protected health information unless you have determined that such use is lawful and permitted under your applicable agreement and compliance framework.

8. Your Choices

Depending on your account settings and applicable law, you may have rights to access, correct, or delete certain information.

You may also be able to control cookies or similar technologies through your browser settings.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be effective when posted unless otherwise stated.
